Rules and Regulations

The following general information and regulations apply to the event called the Boulder Business Trade Fair, which is coordinated by the Boulder Chamber, herein called Boulder Chamber:

1. AUTHORITY
Boulder Chamber, or its delegate, is charged with complete responsibility and full authority to endorse all of the provisions of these Regulations for the benefit of all concerned. Any exemption to or deviation from these rules may be made only by Boulder Chamber. Boulder Chamber reserves the right to cancel a contract if the event exhibitor violates the Rules and Regulations described herein. Boulder Chamber of Commerce reserves the right to change or reassign booths for better traffic flow or presentation of the show floor.

2. DATES, HOURS, AND PLACE
Boulder Business Trade Fair will be held on Wednesday, November 18, 2009, 4:00 to 8:00 p.m with A Taste of Twenty Ninth Street from 5:30 to 8:00 p.m.. at 1601 29th St., #1300.

3. INSTALLATION AND DISMANTLING OF EXHIBITS
Installation and booth set-up goes from 9:00 to 2:00 p.m. on November 18.  Installation must be completed and all shipping materials removed from the exhibit area by 3:00 p.m.  All booths must be claimed by 2:00 p.m. on November 18.  The Boulder Chamber reserves the right to take possession of spaces not occupied by 2:00 p.m. on the show date and the space may be resold/reassigned without refund to the original exhibitor. Dismantling begins after the close of the show and must be completed by 9:30 p.m. that same evening. Exhibitors are responsible for their own trash removal from the site.  PLEASE NOTE:  dollies, carts, and all other instruments for moving materials WILL NOT be provided.  YOU MAY NOT BORROW SHOPPING CARTS FROM STAPLES TO MOVE YOUR EXHIBIT MATERIALS.

4. BOOTH DESIGN
Booths are 6’ wide and 6’ deep and include a 3' high white side curtain. Each booth comes with a 4’ white draped table and two chairs.

5. SELLING POLICY
The selling of goods and services will be permitted on the show floor, ask Eileen. Contracting for sales at a future date is permitted. (Prizes, promotional materials, brochures, etc. may be distributed, and future appointments may be scheduled without prior consent.)

6. FOOD POLICY
Due to the A Taste of Twenty Ninth Street portion of this event, food sampling, sales, or giveaways will not be allowed at this event. 

7. DISPLAY RESTRICTIONS
All displays, demonstrations, interviews or other activities must be confined to the limits
of the exhibitor’s assigned booth. NO BOOTH DISPLAY ELEMENT MAY EXTEND BEYOND CONTRACTED BOOTH TOP AND SIDE BOUNDARIES. During exhibit hours, no audiovisual devices or sound system shall be operated in a manner that disturbs or interferes with other exhibitors. Noisemaking devices, loudspeaker systems and flashing lights are expressly prohibited. All laws and regulations of local, state and federal governments pertaining to fire, public safety and consumer safety shall be observed and complied with by the exhibitor.

8. ENDORSEMENT
Lease of an exhibit booth by Boulder Chamber to an exhibitor does not constitute endorsement by Boulder Chamber sponsors of the exhibitor’s product or service. No advertising material used by exhibitor may contain the logo or bear reference to real or implied endorsement by sponsors or persons acting in an official sponsor’s position with the Bolder Business Trade Fair.

9. SUBLETTING OF SPACE
No exhibitor shall assign, sublet or apportion the whole or any part of the space assigned, and the furnishings therein, or have representative, equipment or materials from firms other than his/her own in the exhibit space. Only one exhibitor (company) is permitted per booth space. Failure to adhere to this policy will result in cancellation of exhibit booth and forfeiture of exhibit fees.

10. LIABILITY AND INSURANCE
Boulder Chamber will take precautions to safeguard exhibitor’s property during non-show hours. However, Boulder Chamber is not responsible for delays, damage, loss, or other unfavorable conditions caused by circumstances beyond its control.

11. CANCELLATION POLICY
A full refund is available through November 4, 2009. No refund will be given if you cancel after that day. However, your booth may be donated to a non-profit Chamber member of your choice.
